FAQs and Tips for EPC 2026

Where is the conference taking place?

When does Registration open?

Registration opens in the Belmeloro complex on Wednesday 3 June 2026 at 12.30 hrs.

How about the Opening and Closing of the Conference?

The Opening Ceremony and Welcome Reception will take place on Wednesday the 3rd of June from 17.30 - 20.30 at the Palazzo Re Enzo.

The Closing and Award Ceremony will take place on Saturday the 6th of June from 12.30 – 14.00 in Room B of the Belmeloro complex. During this session, the winners of the various awards of EAPS will be announced, and the venue of the next European Population Conference will be introduced!

Can I still go to the EPC Opening Ceremony?

Do I get a receipt of my registration and membership?

You will receive automated receipts of the payment for your EPC registration, and for your EAPS membership. Always check your spam box as the receipts may be there. We regret that it is not possible to provide more individualized receipts that are sometimes requested by administrators, so do try to convince them that the receipts that you have received are valid.

When do the Sessions run?

Always check the online program at https://epc2026.eaps.nl/

The sessions run daily from 09.00 – 10.30; 11.00 – 12.30; 14.00 – 15.30 and 16.00 – 17.30. 

On Saturday, sessions end at 12.30. 

Poster sessions run from 10.30 - 11.30; 13.00 -14.00, 15.30 - 16.30 and 17.30 - 18.30.

Food and Drinks

Coffee and tea will be provided free of charge during the breaks.

A Welcome Reception with finger food and drinks will be offered after the Opening Ceremony on Wednesday.

In addition to the regular coffee breaks, healthy box lunches will be provided on Thursday and Friday. On these days there will also be Poster Aperitivo sessions, with some snacks and a drink.

There will not be a conference dinner, but the EPC venue is in the center of Bologna where you will find many opportunities to ‘wine and dine”.

At the EPC Party on Friday evening, finger food will be provided; participants will receive 2 drink vouchers; a cash bar is available, and musical entertainment will be provided!

Where can I get lunch?

On Thursday and Friday lunch will be provided free of charge at various conference

locations. To reduce our ecological footprint, we urge you to bring your own water bottle.

How do I bring my presentation?

Authors should bring their presentation to the session on a memory stick or other portable device and connect this to the onsite computer. It is NOT possible to make the presentation using your own laptop or to connect your laptop to the onsite computer.

Authors are advised to also send their presentation to the Chair of their session.

How much time do I have for my presentation?

The time for presentations varies per session. In sessions with 5 presentations, each presenter has 12 minutes. If your session has 4 presentations, this may be 15 minutes.

Presentations in Flash sessions are 5 minutes.

Always check with the Session Chair about the timing and order of presentations. Do keep within the allotted time. Chairs are asked to strictly monitor this. Note that in the Flash Sessions at EPC 2026 there are NO posters. Flash presenters are advised to use not more than 5 slides.

In all sessions, the discussion from the floor will be moderated by the Chair; there are no Discussants at EPC 2026.

How about the Poster sessions?

Poster Sessions run during the breaks on Thursday and Friday in Belmeloro and Sais. On both days there will also be Poster Aperitivo sessions; check https://www.eaps.nl/page/poste...

Can I ask a colleague to present my work?

If you cannot present yourself, you can ask a colleague to take over. However, this is only possible if your colleague does not have a presentation her/himself! At EPC 2026 we strictly enforce the “one presentation per author rule” to allow as many colleagues as possible to present. Always record the change of presenting author on the program website.

Does the “one presentation per author” rule also apply for Poster Presentations?

Yes, this rule applies to ALL presentations! We only make an exception for presentations in the special Invited Sessions and Advances in Population Research Sessions, that do not count against the “one presentation” rule; these invited sessions are clearly indicated in the program.

Can I present online?

No. EPC 2026 is a fully in-person conference.

Can I request to schedule my presentation at a specific time/or to avoid a specific time?

It is not possible to take individual preferences regarding scheduling into account. We expect that all participants will be available for presentations during the entire conference. If this is not possible for you, your best option is to withdraw from the program so we can give your spot to another colleague. Presentation slots are scarce, and the demand is very high!

Phishing Emails

We have received information that travel agents offer support to arrange for your travel to Bologna. Note that these agencies are not associated with EPC 2026. The organizers do not keep or share personal information with any organization. These emails should be treated as spam/phishing emails.

I do not receive emails from EPC 2026

Spam filters may be very strict, so our emails may end up in your spam box; do check. It also helps if you add our email addresses epc2026@popconf.org, epc2026@nidi.nl and epc2026@unibo.it to your white list (aka allow list; check with your IT personel on how to do this).

Can I get a personal invitation to join EPC 2026?

A personalized invitation to join EPC 2026, specifying your presentation and the session where it will be presented, can be downloaded from the program website at https://epc2026.eaps.nl/

Can I apply for financial support?

Other than the Student Travel Grants there are NO possibilities for financial support of your participation at EPC 2026. The application deadline for the Student Grant was 15 February, so the call is now closed.
